Synchronizing your workspace

00:09

When you get or check out files,

00:11

files are copied from the vault to your local working folder,

00:15

also known as your workspace.

00:18

Over time,

00:20

your workspace may accumulate files that are no longer necessary

00:24

or stray files that are not meant to be managed by a vault.

00:28

These files can be cleaned up by synchronizing your workspace.

00:33

This video covers the Vault workspace sync feature

00:37

that is designed

00:38

to help Vault users to keep their Vault and working folder

00:41

in sync.

00:45

Once you have logged into your vault,

00:47

you can access the workspace sync command in two ways.

00:51

Either you can access the workspace sync

00:55

from the

00:56

toolbar here

00:58

aAnd 2 workspace sync option.

01:01

Or

01:02

click on 2.

01:05

And click workspace sync.

01:11

The workspace sync command compares the content of the

01:14

workspace with the contents of the corresponding vault,

01:18

verifying which files need to be updated,

01:21

either in the workspace or in the vault, and which files need to be removed

01:26

from the workspace.

01:29

Depending on your settings,

01:32

the latest version,

01:34

the current version,

01:35

or the current version,

01:37

with

01:38

Released Biased,

01:40

is used to determine

01:41

whether a file needs to be updated.

01:46

You can also specify auto delete filters

01:49

using the file extension.

01:51

For example,

01:52

log files,

01:53

AutoCAD backup files are by default added here by design with the Vault client.

02:01

The AutoCAD backup files with extension BAK or

02:05

ac$ are log files with extension LOG

02:09

are automatically added to the list.

02:13

You can add your own file extension based on your requirement using the add

02:18

button here

02:19

or you can remove any unwanted or

02:23

filters that are already specified here by using the Remove option.

02:30

Under the expiration setting,

02:32

you can set

02:34

the time period

02:35

after which the vault will delete the

02:38

files or remove the files from the managed files

02:42

list or the unmanaged files list based

02:45

on the time expiration settings specified here.

02:50

You can set up to 15 weeks

02:52

for

02:53

any of the fields here.

02:56

If you want to exclude any files from the expiration,

03:00

you can add

03:01

those files or the folders here

03:04

by choosing the

03:04

Add files button or add folder button and specify them

03:09

inside your vault.

03:13

Please choose to remove empty folders from your local workspace.

03:20

There is also an option to export settings.

03:24

And use that

03:25

by other user,

03:28

that was it.

03:29

Or you can import settings

03:31

that have been used by other users as well.

03:35

Once you define your settings,

03:37

you can click OK,

03:38

and based on those settings,

03:40

the vault works with synchronization wizard with lists the files

03:44

that has to be removed.

03:49

You can see different filters here,

03:51

like expired manage,

03:52

expired unmanaged,

03:54

and files that have been removed from Vault but still exist

03:58

in the working folder.

04:10

Once you have all the files listed here,

04:13

click Finish.

04:18

The local workspace is synchronized using the specified settings.

04:34

When the synchronization is complete,

04:36

the results are summarized in the report.

04:39

The report lists those files which were successfully downloaded

04:43

and those which were successfully removed.

04:51

As well as the files which unsuccessfully synchronized.

04:56

You can generate a report as a CSV file and save it locally.

05:05

Or in

05:09

the vault,

05:10

using the send to Vault command

05:12

or printed

05:14

by performing one of these options.

05:19

To save the report locally,

05:21

click save

05:23

on the save as dialog,

05:26

select the folder structure where you want to save this file,

05:31

and click save,

05:32

or,

05:54

to print

05:56

the results as a report

05:57

and specify your printing options.

06:03

Choose any of the selected printer to

06:05

print the report,

06:09

or click cancel to exit the dialogue.

06:13

Once you have saved the report,

06:14

as per your preferences,

06:15

click close to exit the dialog.

06:19

This is how

06:20

the Vault workspace sync command works.

06:24

There is also another option

06:26

available

06:27

for workspaces synchronization

06:29

like

06:31

Quick sync.

06:32

It synchronizes the files immediately using the default settings.

06:39

In this case,

06:40

the commands quickly executed the case.

06:43

We have just used the Wordspace sync command and removed the files,

06:47

based on our settings.

06:50

There is also an option that is Sync from the command line, which synchronizes files

06:56

by creating an event in the Windows task scheduler

06:59

to automate workspace synchronization.

Workspace Sync - Exercise

Use the Workspace Sync command to clean unnecessary files from the workspace and keep it up to date.

Note: This feature is available in Vault Professional.

The Workspace Sync command compares the contents of the workspace with the contents of the corresponding vault to verify which files need to be updated either in the workspace or in the vault and which files need to be removed from the workspace.

Depending on your settings, the last modified date, the current revision, or the current revision with released biased is used to determine whether or not a file needs to be updated.

Synchronize your workspace

Select which files to synchronize with these steps:

  1. In the Vault Client, select Workspace Sync from the Workspace Sync drop-down menu on the toolbar.

  2. Select Tools > Workspace Sync to launch the Workspace Synchronization Wizard.

The local workspace is scanned to determine which files need to be updated or removed. The files that will be synchronized are displayed.
  3. Specify the files that you want synchronized by selecting the check box next to each file. If you do not want a file synchronized, clear the check box beside that file. The total number of files to be removed and the total number of files to be downloaded are displayed at the bottom of the wizard.
    • Download - New: if the parent of a file is updated and the new version or revision uses a file that is not in the local workspace, the file not in the local workspace is retrieved from the vault.
    • Download - Overwrite: the files currently in the local workspace that will be updated with new versions or revisions from the vault, depending on your settings. If the local file is currently locked because it is open for editing, it is not overwritten.
    • Expired - Unmanaged: files in the local workspace that are not managed by the vault and have not been modified within the expiration time frame specified in Workspace Sync Settings.
    • Expired - Managed: files in the local workspace that are managed by the vault but which have not been modified within the expiration time frame specified in Workspace Sync Settings.
    • Expired - Hidden: hidden visualization files in the local workspace that are managed by the vault but which have not been modified within the expiration time frame specified in the Workspace Sync Settings dialog.

Note: Removed files are placed in the Windows Recycle Bin.
  4. Click Settings to specify update preferences, which file extensions to delete, and expiration rules.

  5. Click Finish. The local workspace is synchronized using the specified settings.
  6. When the synchronization is complete, the results are summarized in a report. The report lists those files which were successfully downloaded and those which were successfully removed, as well as the files which unsuccessfully synchronized.
  7. You can generate a report as a (.csv) file and save it locally or in the vault, or print it by performing one of these options:
    • To save the report locally, click Save. On the Save As dialog, navigate to the folder structure where you want to store the file locally. Enter a name for the report and click Save.
    • To save the report in a vault, click Send to Vault to display a list of vault folders. Select the vault in which you want the report saved, enter a name for the report, and click Save.
    • To print the report, click Print and specify your printing options.
  8. Click Close.
