Managing and Resolving Site Issues

00:01

INSTRUCTOR: Hello, hello.

00:02

Welcome to the last objective of this course.

00:05

In this objective, we are going to learn

00:07

how to manage and resolve site issues.

00:12

Before we go on-site to review and resolve issues.

00:16

Normally the process is that we will

00:18

look at the issues on our PC and I'm

00:21

a big fan of starting my day using the BIM 360 Project home

00:25

page.

00:27

The project home page can be accessed

00:29

by clicking on the Module Selector on the top left

00:32

and then clicking on Project Home.

00:35

So the idea is that on this project home page,

00:37

I can have a quick look at all the actions

00:40

that I need to perform in my day.

00:42

You can also add additional cards to this project homepage

00:46

and if you are a project admin, you

00:48

could add a card that shows you all the issues sorted

00:51

by the root causes.

00:53

So before jumping on my BIM 360 mobile app,

00:56

let me show you how to customize this project homepage.

00:59

As you can see, right now I'm in my Chrome window,

01:02

I'm looking at my project home page.

01:04

Just a reminder, the project home page

01:06

can be accessed by clicking on the Module

01:09

Selector on the top left and then clicking on Project Home.

01:12

Now, this user is also the project admin

01:15

and you can see the Project Admin option here.

01:19

As a project admin, this user can

01:21

add the card that shows you all the issues sorted

01:24

by root cause.

01:25

And to do that, I'll click on Customize on the top right,

01:32

and I click on the Card Library button

01:36

These are all the different cards that I

01:37

can add to my card library.

01:40

In the Search window, I'm going to type in route.

01:44

And as you can see here, there's a root cause card

01:46

that I could add.

01:48

I'll click on Add Card.

01:51

Now this card gets added to the bottom of this window.

01:54

I'm going to drag it to the top because I'm still

01:57

in the customization environment and I'm

01:60

going to place it somewhere here.

02:02

That's where I want the Issue Root Cause card to be sitting.

02:05

Once I'm happy with this, I'll click on the Save button,

02:08

and it now saves this card library for this user

02:11

in the project home page.

02:13

Now as you can see, the issues are now

02:15

displayed by root cause.

02:17

We can still see that there are four undefined issues.

02:20

As I mentioned in the previous course,

02:22

please make sure that you always define a root cause.

02:25

Right now I can see that there are three code compliance

02:28

issues.

02:28

These issues need to be taken care of on-site.

02:32

So let me now show you how would the day of the user who

02:35

needs to go on-site to fix these issues would start.

02:40

Right now, I'm in my Firefox window.

02:43

I'm logged in as this user.

02:45

Now this user is not a project admin.

02:48

So if I click on the Module Selector on the top left,

02:52

you can see that we don't have the Project Admin options.

02:55

However, this user can see all his issues

02:58

under My Issues card.

03:01

Now I'm going to jump onto my BIM 360 mobile app

03:04

and I'll show you how we can action these issues when

03:06

we are on-site.

03:09

All right, so this is my BIM 360 mobile app and before I start,

03:14

let me tap onto the Menu option on the top left.

03:17

And as you can see, I'm logged in as this user

03:20

who was assigned all the issues that need to be fixed.

03:24

So I'm on-site now and I'll start with tapping on Issues

03:27

on the bottom toolbar.

03:29

Currently, these are the issues shown in my Issues panel.

03:33

Before I do anything, I'm going to tap on Filters

03:37

and I'll say show me the issues assigned to me.

03:41

Status are Unresolved, and that type of issue is Building Code.

03:46

I'll tap on Done and now I can see that there are these three

03:50

issues that I need to action.

03:52

I'll start with tapping on issue number 11

03:54

where it says too close to the lighting fixture.

03:57

I can see that I was provided a photograph also.

04:01

And I've also been told that this issue is in room 112.

04:05

So I can now go to room 112, I can take the necessary actions

04:09

to fix this problem, I can then go and tap

04:12

on the Activity option here, and now down the bottom

04:16

I can add some details--

04:19

Issue actioned.

04:23

Now the good thing is, in here, I can also use the "at" symbol

04:27

and tag people who were not originally involved

04:30

in this issue.

04:31

So maybe I need to tag in the site supervisor,

04:34

so I can go and sit "at" and now I can tag Carlos into this.

04:40

The idea is that anyone who's added to this project,

04:43

I can simply use the "at" symbol and I

04:45

can tag them into this issue.

04:48

I'll press the Send button so that information is now added,

04:51

let me hide the keyboard, and just like last time,

04:55

I can tap on the Camera button, and then

04:57

I can take a photograph of the resolved issue.

05:01

Now because this issue was not created by me,

05:04

when it comes to changing the status of this issue,

05:06

I'll tap on Open on the top right,

05:09

and I can only change it to Answered.

05:11

So I'm going to change the status to answered

05:14

and again, as soon as I set the status to answered,

05:17

the user who created this issue straight

05:19

away gets the notification that I have actioned this issue.

05:23

Similarly, I can go to issue number 16

05:25

and I can now action this issue as well.

05:28

So this issue was because an invalid alternate connector was

05:31

used, I can now go and fix that, and then

05:34

I can go to the Activity option, I

05:36

can add some information here--

05:39

issue fixed, ready for inspection.

05:44

And then I'll tap Send.

05:46

And again, I can use the Camera button here also

05:49

to take a photograph.

05:51

Let me change the status of this,

05:53

I'm going to change this also to Answered.

05:56

So similarly, I can resolve all the side issues

05:59

using my BIM 360 mobile app.

06:01

How cool is that?

06:04

So now I'm back on my PC, logged in as the Admin.

06:08

As I mentioned, as soon as the issue status was changed,

06:12

I got a notification in an email,

06:14

and now I can go into my project issues card

06:17

and I can simply click on this button here

06:19

that says Go To Issues.

06:21

It now opens a new tab, it'll take me into the Document

06:24

Management environment under my Issues area,

06:27

and I can see that there are a couple of issues

06:29

that are set to Answered.

06:31

If I click on any of these issues here,

06:33

I can now see the details of this,

06:37

I can look at the activities, and I can also

06:41

see that Carlos was tagged into this issue.

06:43

Now from here, on I can do my own site inspection,

06:47

or if I'm happy with the supplied photograph,

06:49

I can change the status of this issue from Answered to Closed.

06:54

I can add some description here, reviewed the photograph

06:57

and I'm satisfied, and now I'm going to click on Done.

07:02

And now this issue is resolved.

07:04

How cool is that?

07:07

Similarly, I can go to the next answered issue

07:09

and I can go through the same process again.

07:11

So the whole idea is we were able to create issues

07:13

on-site and assign it to the user who had to fix it.

07:17

The user would start their morning on the project home

07:19

page looking at the issues that they need to resolve,

07:22

they would then go on-site, and on the BIM 360 mobile app,

07:25

they'll be able to filter those issues and action them.

07:28

As soon as they action the issues and change the status,

07:31

the person who created the issue is notified,

07:34

and that user can then review the actioned issue

07:37

and then change the status to resolve or keep it

07:40

open depending on what the situation is.

07:43

That's the end of this course, I hope you enjoyed it.

07:46

See you in the next course, Cheers.

03:37

05:09

05:11

So I'm going to change the status to answered

05:14

and again, as soon as I set the status to answered,

05:17

the user who created this issue straight

05:19

06:12

06:17

and I can simply click on this button here

06:19

that says Go To Issues.

06:21

It now opens a new tab, it'll take me into the Document

06:24

06:27

and I can see that there are a couple of issues

06:29

07:11

So the whole idea is we were able to create issues

they'll be able to filter those issues and action them.
