Share files externally with public links

Share Civil 3D cloud project files with external stakeholders using public links.

You can share Civil 3D cloud project files or folders with external shareholders,

meaning those who are not project members, by emailing a public link.

The recipient can then use the link to download the files.

First, you must configure this type of sharing for the project.

In Files, expand the Settings drop-down and select Advanced settings.

Here, you see the Public links to sheets and files, setting, which is turned Off by default.

Toggle this setting On, and in the confirmation dialog that appears, click Turn on.

Then, expand the number of days drop-down and select a time for expiration.

In this case, leave the default of 90 days.

Click Files at the top of the page to return to Files.

To share a public link for one or, in this case, for multiple files, first, select the files.

Then, click the More menu and select Share.

In the Share dialog box, under Share with, select Anyone with the link.

Expand Link expires and select a date—in this case, 90 days out.

Next, expand the Select version to share drop-down to choose whether to share the current version at the time of sharing,

or at the time the recipient opens the link.

The latter option is useful if you want the recipient to see the most up-to-date version each time the link is clicked.

The option selected here, Current version at the time of sharing, is useful for sharing a specific version of the file.

If you are using an external application to email the link, click the Link tab,

where you can easily Copy the link for one or both files to your clipboard to paste into an email,

or you can select Share all to copy and paste all links to your clipboard.

Alternatively, and for this example, click the Email tab to send the link directly from the Share dialog.

Enter a Title, select a Recipient, and then add an applicable Note.

Then, click Send.

Back in the Files list, you see a globe icon in the Indicator column, informing you that the file has been shared publicly.

Place the cursor over the globe and note the option to delete the link, if needed.

Next, in Outlook, review the email that was generated from sharing the link.

This is what external stakeholders will see when you share a link with them.

From here, they have the option to download and view each file individually.

Alternatively, clicking View all opens a browser page where the files can be downloaded.

Note that files can only be downloaded and not viewed in the browser, because the recipient is not a member of the project.
